Support the Merchandising Team at trofeodirtrack across all women’s product categories, working through the full product lifecycle from inception to inventory exit.


  • Color & Mood, sketch, proto, pre-lines, pre-merch, final merch, market shows participation

TITLE: Sample Coordinator, Merchandiser Assistant

Support the Merchandising and Creative Team at trofeodirtrack with coordination and management of all sample organization, send outs, and collection.


  • Organize and maintain organization of all samples by delivery and season
  • Pull samples for all required meetings including weekly ecom/marketing meetings, best seller meetings, Pre Merch Meeting, Merch Meetings, etc.
  • Manage and organize samples before photoshoots; check the racks against the directive and ensure every sample is on the rack and checked off on the directive
  • Ensure any SMS samples are replaced with PP samples prior to photoshoots
  • Steam all samples and untag garments the day prior to a photoshoot
  • Send samples out for Flat shoots
  • Assist stylist in steaming and dressing model at all photoshoots
  • Attach tags back to garments and organize samples post shoot
  • Collect and prepare rack of samples requested for all sample send outs; distribute to all reps/showrooms

Sourcing Activities

  • Support the development and execution of the Off-Price Seasonal Global Sourcing Strategy for the brand.
  • Support management of supplier base; continually assesses suppliers’ capabilities.
  • Coordinate and support program and style allocation in alignment with Company Vendor Allocation SOPs and Seasonal Strategies.
  • Support the management of new vendor on-boarding and training activities.
  • Stay up-to-date with the competitor market, global sourcing trends, macro-economic factors, continuously share and apply the information to everyday work.

Product Development Activities

  • Support the creation and management of Off-Price Seasonal Sourcing calendar and execution of the cross functional Off-Price Seasonal Product Calendar for all deadlines including fabric/garment commitment, wash approvals, development sample due dates, production timing; enforce adherence to the category related product development time and action calendars to achieve production timelines.
  • Collaborate with Design, Sales, Technical Services, Production as well as company supplier base and other internal & external partners throughout the stages of the product development cycle.
  • Support Design in seasonal fabric, trim, brand packaging development, and responsible for sourcing innovative materials/trims at affordable price range and in line with company Global sourcing strategy, materializing seasonal design concepts.
  • Ensure product specifications are communicated to suppliers clearly & on time for accurate sampling and production execution.
  • Ensure the quality level and design aesthetic of the samples meets the expected brand quality standards for the categories owned.
  • Conduct strategic negotiations for the lead-time, delivery, quality terms for the company and bring closure in timely manner.
  • Proactively manage OP PD Costing Log and trouble shoot to ensure timely and flawless execution of the finished product. Report status at the Weekly OP Sourcing Team meetings and provide recommendations where trouble shooting is needed.
  • Own the accurate and organized samples status reporting in timely fashion; Coordinate samples and proactively trouble shoot with internal and external partners for on-time and accurate sampling.
  • Partner with production to achieve the advanced booking timelines in order to ensure maximum flexibility for product commitments. Support creating of core items fabric platforms to ensure stock levels where possible, allow for shortest possible lead-times and increase efficiency during product development cycle.
  • Manage the factory PD cycle performance for the categories owned by monitoring suppliers’ flexibility on product development cycle activities including lead-time, quality of fit and timely shipment of samples. Troubleshoot and seek guidance along with resolution proposal to Sourcing and Global Sourcing leadership proactively.

Costing Activities

  • Responsible for seasonal pre-costing and bringing all other costing related activities closure in timely fashion.
  • Estimate and analyze the cost of each product through the development stage and establish product targets. strategically based on the established parameters by Sr. Leadership
  • Negotiate and achieve/exceed IMU goals for the assigned categories.
  • Work closely with merchandising and design on cost and make timely call out the concerns related on IMU goals along with brand relevant, applicable alternative cost options.

Pre-Production Activities

  • Analyze product development issues and proactively communicate any delays in samples and/or production to divisional leadership and cross functional partners.
  • Manage the approval process (proto, SMS and all components) to ensure timeliness of samples and bulk execution. Proactively troubleshoot /communicate potential issues along with applicable resolution proposals.
  • Monitor fit sessions to ensure on-time pattern/comment release from technical design.
  • Partner with Design/Sales for styles that could potentially delay or have potential production issues.
  • Ensure all products are production ready and meet/exceeds all quality and testing standards.
  • Ensure Design hands over all approved swatches / lab dip to production once orders are confirmed.

    • Research and shops seasonal trends, silhouettes, fabrics, and trim
    • Create inspiration Mood Boards
    • Generate hand and Illustrator sketches including CADS’s
    • Produces detailed seasonal presentations
    • Create style boards for the area of responsibility, showing silhouette and color, fabric, print/pattern/embroidery options
    • Work with the graphic team to create print patterns and embroidery layouts
    • Request fabric spec sheets and trim detailed sheets from vendors
    • Wash design and approvals
    • Set up development pages and keep them updated through changes
    • Create and send out tech packs for all styles each season and ensure they are maintained, organized, and accurate, so that samples are developed efficiently
    • Communicate promptly and daily with overseas vendors and internal teams
